Delegate Pack Ideas for Corporate Events: Contents, Quantities and Packing

A delegate pack should help attendees take part in your conference, seminar or workshop. Start with what they will use during the programme, then add a practical takeaway if the budget allows. More items do not automatically make a better pack.

For Singapore event organisers, the useful questions are: what belongs in every pack, which groups need something different, and who will assemble and deliver the finished packs?

1. Choose contents around the programme

2. Give each item a clear job

  • Notebook and pen: choose a usable page size and ruling for the sessions. Test the pen and check that both fit inside the proposed bag.

  • Carry bag: choose from tote bags only after you know the contents. Check the opening, handles and packed weight with a sample.
  • Drinkware: include it when it suits the programme and recipient routine. Confirm capacity, closure, care instructions and whether the venue has appropriate refill arrangements.

Investment seminars and client briefings: pack for the session

For an investment seminar or client briefing, start with the programme rather than a premium gift list. Confirm whether attendees need writing materials, printed worksheets or access to digital resources, and check what the venue or presenter already supplies.

  • Short presentation: consider a notebook and pen if note-taking is expected, with a clearly labelled programme or resource card.
  • Workshop with printed materials: check the paper size and total contents before choosing a delegate tote bag.
  • Client discussion or panel: keep the common attendee pack consistent and list any speaker appreciation item separately.

The organiser should approve all event inserts, including speaker names, sponsor logos, dates and resource links, before they go to the printer or packing team. Use one final version and agree a cut-off for changes. A clear quantity brief for a client seminar

Illustrative example: 70 attendees need a notebook and pen, while four speakers receive those same materials plus a separately approved appreciation item. Agree whether packs are placed on seats or handed out at registration. Label separate speaker items for the event coordinator, and confirm the receiving window with the venue. Ask for printing, inserts, packing and delivery to be identified in the quotation.

3. Set a core pack and control exceptions

Keep the standard delegate pack consistent. If speakers, facilitators or invited guests need something different, specify those additions separately. This makes the order and registration-desk handover easier to check.

For example, a hypothetical event with 180 delegates and 12 speakers could use 192 core packs, plus 12 speaker additions. If you decide on eight spare core packs, the order becomes 200 core packs and 12 additions—not 212 complete packs. Confirm that the speaker count is not already included in the 180 before using this calculation.

Separate organiser and crew requirements too. If staff only need credentials, they should not automatically be counted as full-pack recipients. Quantity minimums may apply to each component, colour or branding method.

4. Compare budgets for the finished pack

Ask for an itemised quotation covering products, artwork setup, printing or personalisation, packing materials, assembly, delivery and applicable tax. Give a total budget per finished pack and state which services it must include.

If the proposal exceeds the allowance, simplify in this order:

  • Remove items with no clear role in the programme.
  • Compare simpler product specifications or fewer branding positions.
  • Reduce unnecessary colour variations and individual names.
  • Review outer packaging while keeping the contents adequately protected.

Request two configurations against the same quantity and delivery date: an essential pack and a pack with one useful addition. This makes the tradeoff easier to approve than a long list of unrelated products. Prices depend on the selected items and scope; sample pack ideas are not price guarantees.

5. Approve one complete packed sample

Individual product pictures cannot show whether the whole pack works. Ask whether a complete sample can be prepared and confirm its cost and timing.

  • Check every component against an agreed contents list.
  • Lift and carry the pack with its actual contents.
  • Check that bottles or other hard items do not damage printed material.
  • Review logos, event dates, names, spelling and QR destinations.
  • Confirm how different pack types will be identified without opening each one.

A simpler pack can also avoid unnecessary material use. If recycled content or other environmental attributes form part of your brief, ask for evidence for the specific component. A material name alone is not proof of the whole pack’s environmental impact.

6. Agree on assembly and venue receiving

State whether your team will pack the items or whether you need assembly quoted. Confirm that service rather than assuming it is included. Agree who provides programmes, sponsor inserts and badges, and the deadline for those materials to reach the packing team.

Provide the venue receiving contact, delivery window, access instructions and required arrival date. Ask for carton labels showing pack type and quantity. Keep spare packs identifiable so they are not distributed unintentionally at the start of registration.
