Custom Lanyards for Events: Width, Print, Attachments & Badge Fit

A lanyard order is more than a logo on a strap. For conferences, exhibitions, school activities and campaign teams, the lanyard must work with the badge, suit the wearer and arrive ready for the planned registration process.

Before requesting a quotation, confirm the strap width, artwork, attachment, holder and quantity. This guide helps Singapore event organisers specify a complete credential set and avoid discovering missing components at the registration desk.

1. Define who will wear the lanyard

Start with the event format and wearer group. A delegate badge used throughout a conference has different practical requirements from a crew pass or a visitor badge returned at the end of a session.

If your organiser requires a breakaway fitting or another specific feature, include that requirement at the start. Ask for confirmation of suitability for the intended setting rather than relying on the product name alone.

2. Choose width and material with the artwork in mind

Compare options in the lanyard collection using the strap width, material, length and available printing area. A wider strap may give the design more room, but it does not make small lettering automatically readable.

For any model, check the fabric feel, edge finish and hanging length using a sample where needed. Specify whether a quoted length means the full strap or the finished hanging length, and whether fittings are included in that measurement.

3. Make the logo and text readable

Send the logo file and the actual wording you need printed. State whether you want a repeated logo, event name, sponsor marks or a short role label. Keep detailed schedules and long messages on the badge or an insert rather than crowding the strap.

  • Confirm the printing method for the chosen material and design.
  • State one-sided or two-sided printing and ask how each side will face when worn.
  • Check repeat spacing, artwork direction and any joins or unprinted sections.
  • Provide colour references and review contrast against the strap colour.
  • Approve a proof at the intended print size, with a physical sample if required.

Do not assume full-colour artwork, a colour gradient and a simple one-colour logo have the same cost or production process. Ask the supplier to confirm the method, finish and achievable detail for the exact order.

4. Specify the fittings separately

Use a reference photo or sample when naming hardware. Similar-looking clips and buckles can work differently, and the fitting must suit the badge holder’s slot or hole.

A detachable buckle and a breakaway fitting serve different purposes. Ask the supplier to identify both on the proposed sample. Do not substitute one for the other in the order specification.

5. Match the holder to the finished badge

Choose badge holders and credential options around the finished insert size, not just an “A6” or “card size” label. Give the supplier the badge’s width, height, orientation and thickness.

  • Usable internal size: confirm that the printed insert fits without trimming or folding.
  • Visible area: check that the holder does not cover the name, role or code.
  • Connection: match the slot or hole to the chosen clip.
  • Layout: review portrait or landscape orientation and how it hangs.
  • Scanning: test any printed QR code or barcode through the proposed holder with the intended device.

Request a sample assembly of the lanyard, holder and insert when fit matters. A lanyard quotation may exclude both the holder and printed badge; have each component listed explicitly.

6. Plan credential groups and quantities

Count delegates, staff, exhibitors and speakers separately, then add the reserve quantity your organiser approves. If colours distinguish groups, pair them with clear role text so colour is not the only cue. A coloured lanyard is an identification aid, not a substitute for the event’s access-checking process.

For example, 300 delegate sets, 40 crew sets and 20 allocated spare sets totals 360 complete sets. This is planning arithmetic, not a minimum order or a recommended reserve ratio.

Specify how many straps, holders and inserts are needed in each group. Ask whether colour splits have separate minimums or setup charges. For personalised badges, agree the final name-list deadline and a process for late registrations.

7. Work backwards from registration day

Share the event date and the earlier date when the order must reach your team. Allow for product selection, sample checks, quotation approval, artwork, production, any insert printing, assembly and delivery.

Ask for the achievable schedule for the exact specification. The strap, holder and printed insert may have different production requirements. If your team will assemble the credentials, allow time for that work before guests arrive.

For multiple registration counters, request packing by group or counter and confirm the quantities on carton labels. State delivery locations and receiving arrangements, and check counts and sample assemblies on arrival.

8. Compare complete quotations

Ask each quote to identify strap material, width, length, colour, print method, printed sides, fittings, holder and insert specification. Confirm setup, samples, badge personalisation, assembly, packing, delivery and applicable GST.

If you need a simpler option, keep the required fit and fittings fixed while comparing artwork or material alternatives. A lower strap-only price is not directly comparable with a fully assembled credential set.

Are badge holders included?

Do not assume they are. Ask for the lanyard, fittings, holder, printed insert and assembly to be listed separately in the quote.

Is a detachable buckle the same as a breakaway fitting?

No. Specify each feature separately and ask the supplier to show it on the proposed model or sample.

Can we use different colours for delegates and staff?
