Ordering T-Shirts for Company Events: Fabric, Print, Sizes & Timelines

A company-event T-shirt order is ready for quotation when the supplier knows who will wear it, what the artwork looks like, how many shirts are needed in each size and when the team must receive them.

For roadshow crews, company activities, launches and volunteer teams in Singapore, use this guide to turn a general request for “printed tees” into a clear production brief.

1. Start with the event and the wearer

Separate crew clothing from participant giveaways. Crew shirts may need to identify a role clearly; participant shirts may need a wider size range and an organised collection process.

Share the wearing duration, indoor or outdoor setting, and whether staff need more than one shirt across several days. A one-day giveaway and a multi-day crew uniform should not automatically have the same specification.

2. Compare fabric and fit using the actual model

3. Ask for a print method that fits the design

Send the artwork with the first enquiry. A small one-colour logo, a full-colour illustration and individual names are different decoration requirements. GiftMart should confirm the suitable method for the chosen fabric, colour, quantity and design.

These are quotation questions, not a promise that every method is available on every model. Ask for a sample or proof appropriate to the order, especially when a large printed area, fine lettering or colour matching matters.

4. Collect sizes against one approved chart

Choose the shirt model before collecting sizes. An “M” from a previous event or another brand is not a reliable substitute for the selected model’s measurements.

  1. Share the supplier’s current size chart and measurement instructions.
  2. Ask each wearer to compare those measurements with a well-fitting shirt, or arrange fitting samples where available.
  3. Collect the chosen size, cut and quantity in one list.
  4. Set a deadline and nominate one person to check the totals.
  5. Confirm the final size breakdown with the supplier before production.

Keep youth sizes, different cuts and different models as separate lines. Ask about size surcharges, sample arrangements and how late changes are handled. Personalised or printed shirts should not be ordered on the assumption that size exchanges will be available.

5. Allocate spare quantities deliberately

Order from confirmed wearer quantities, then add an agreed reserve by size. Use previous attendance and sizing records where available; avoid adding an arbitrary percentage without deciding which sizes the reserve will cover.

For example, 80 confirmed crew shirts plus eight allocated spares equals 88 shirts. If 20 crew members also need a second shirt for another day, the total becomes 108. This is a quantity-planning example, not a minimum order or recommended spare ratio.

Separate crew, participant, replacement and display quantities. Ask whether a later top-up would have a different minimum quantity, setup cost or delivery schedule.

6. Approve artwork before production starts

Provide the approved logo file, colour references, shirt colour, print dimensions and positions. Include any sponsor logos, role names or participant numbers in the final artwork brief.

  • Check the front and back separately, including spelling and logo versions.
  • Review the print at its actual dimensions, not only as a large screen preview.
  • Ask how the design will sit across the smallest and largest ordered sizes.
  • Confirm whether the proof is digital or physical and what it demonstrates.
  • Appoint one person to consolidate approval and avoid conflicting revisions.

If a QR code is included, test the proposed printed result at its intended size. A busy background, folds and small print can make a code difficult to use.

7. Work backwards from the distribution date

Give GiftMart the event date and the earlier date when shirts must be received, counted and distributed. The schedule needs room for model selection, stock checks, sizing, quotation approval, any samples, artwork approval, decoration, packing and delivery.

Ask for the achievable timeline for your actual order. Do not treat a general turnaround estimate as confirmation of stock in every required size or of an urgent printing slot.

For several departments or locations, request packing by size, team or delivery point and confirm any extra charges. Check carton labels and counts when the goods arrive so shortages can be raised before event day.

8. Compare quotations on the same specification

Ask each quote to identify the model, fabric, colour, size breakdown, print method, design dimensions and number of positions. Confirm setup, samples, individual names, packing, delivery and applicable GST.

A front-only logo and a front-and-back design are different scopes. If the quote exceeds the budget, ask about a simpler design or another suitable model while keeping the size and deadline requirements clear.
